Recently, I had a client facing a classic operational headache. They needed a highly specific, customized way to assign job numbers and track project names inside their accounting software (Xero).

Usually, this means one of two things:

• Paying for an expensive, bloated third-party software subscription that almost does what you want, but forces you to change your workflow to fit their system.

Using a stack of modern AI tools, we engineered a completely custom, automated bridge between Xero and Google Sheets.

Here is what it does: Every few minutes, silently in the background, the system securely checks Xero for new projects. If it finds one, it applies the client’s exact, bespoke business rules to generate a sequential job number, updates Xero instantly, and logs the result in a secure dashboard.

No human intervention. 100% accuracy in job numbering. And because it’s built on Google’s infrastructure, there are zero ongoing software subscription costs for the data bridge.

The Secret to Making it Work

People often ask if AI can just “build this for you.” The answer is: not quite. AI is an incredibly powerful construction crew, but it still needs an architect.

To build this, I used a team of AI assistants:

• NotebookLM acted as my research assistant, instantly digesting complex Xero API documentation and explaining error codes.
• Antigravity helped develop the central web application that acts as the secure hub for the firm.
• Gemini acted as my co-developer, helping to write the specific background scripts that run inside the client’s spreadsheets. But the technology was only half the equation.
